Your Role as Administration Officer
Provide exceptional customer service to visitors attending our hub while delivering high-quality administrative support to the Health and Wellbeing Clinical Team. This role helps maintain an efficient, welcoming, and productive environment and offers the opportunity to work across multiple WMQ sites and customer groups.
Key responsibilities include:
Delivering exceptional front-of-house customer service, providing a welcoming and professional experience for all visitors, clients and stakeholders.
Coordinating appointments, schedules and resource allocation to support the efficient delivery of clinical services.
Managing day-to-day reception and administrative operations, ensuring smooth and effective hub functionality.
Processing financial transactions, including EFTPOS, Medicare rebates, HICAPS claims and therapy service payments, while maintaining accurate records and reconciliations.
Maintaining office resources and facilities, including meeting and treatment room bookings, supplies, equipment and service requests.
Building positive relationships with customers and team members, promoting a customer-centred approach and identifying opportunities to enhance service delivery.
Collaborating effectively within a multidisciplinary team, communicating with internal and external stakeholders and supporting flexible service delivery across locations as required.
This role is available at either our Chermside or Sinnamon Park site.

What We’re Looking For
Experience in a medical, allied health or similar customer-focused administration environment.
Well-developed communication and interpersonal skills, with the ability to provide professional customer service and build positive stakeholder relationships.
Strong organisational and time management skills, with the ability to manage competing priorities in a busy clinical setting.
Proficiency in Microsoft Office and practice management systems, together with the ability to quickly learn new technologies and administrative processes.
Essential Requirements
Proof of COVID-19 vaccination status (or as required by legislation and WMQ policy)
Relevant probity checks required by legislation and WMQ Limited policy.
Current Driver’s Licence and willingness to travel for work
