Multiple Executive Assistant Opportunities
GIICA is seeking proactive and highly organised Executive Assistants to support key executive leaders as we deliver the infrastructure legacy of the Brisbane 2032 Olympic and Paralympic Games.
We are currently recruiting for:
Executive Assistant – Delivery
Executive Assistant – Commercial
Executive Assistant – People & Culture
Candidates are encouraged to specify in their cover letter which role or roles they wish to be considered for.
All positions are Brisbane CBD based, office-based roles requiring regular onsite attendance and are offered on a maximum-term basis of up to six years.
Executive Assistant – Delivery
The Executive Assistant – Delivery will provide dedicated support to the Executive General Manager – Delivery and play a key role in supporting the planning, coordination and delivery of the venues and infrastructure program that will help shape Queensland's Brisbane 2032 legacy. Working in a complex project delivery environment, you will support a diverse portfolio of projects, stakeholders and governance forums while helping maintain visibility of key actions, risks, milestones and decisions.
This role would suit a highly organised professional who enjoys working in large-scale project or infrastructure environments and thrives on bringing structure, coordination and momentum to complex programs of work. You are proactive, solutions-focused and comfortable managing competing priorities while building strong relationships across project teams, delivery partners and senior leadership. Experience supporting infrastructure, construction, major projects or project delivery environments will be highly regarded.
Executive Assistant – Commercial
The Executive Assistant – Commercial will provide dedicated support to the Executive General Manager – Commercial and contribute to the effective operation of a dynamic function responsible for commercial strategy, procurement, partnerships and key stakeholder relationships across government and industry.
This role would suit someone who enjoys working in a fast-paced, highly connected environment where no two days are the same. You are organised, adaptable and enjoy coordinating competing priorities, engaging with a broad range of stakeholders and helping executives navigate complex commercial and organisational matters. Experience supporting commercial, procurement, government or professional services functions will be highly regarded.
Executive Assistant – People & Culture
The Executive Assistant – People & Culture will provide executive and administrative support to the Executive General Manager – People & Culture while also contributing to the effective operation of the broader People & Culture function. The role supports governance administration, employee lifecycle activities, team communications and People & Culture initiatives that help deliver a positive employee experience across GIICA.
This role would suit someone who enjoys supporting people-focused initiatives and creating positive experiences for others. You are collaborative, service-oriented and confident managing sensitive information while balancing executive support responsibilities with a broad range of People & Culture activities. Experience supporting human resources, people and culture or corporate services functions will be highly regarded.
About your responsibilities
Across these opportunities, your responsibilities will include:
Provide comprehensive executive support to an Executive General Manager, ensuring priorities, deliverables and deadlines are effectively managed.
Manage complex diary scheduling, inbox management and workflow prioritisation.
Coordinate briefing materials, reports, presentations, governance papers and meeting documentation.
Prepare, proofread and quality assure correspondence, presentations and executive papers.
Monitor, track and follow up actions, commitments and key deliverables.
Manage confidential and sensitive information with professionalism and discretion.
Support executive decision-making through effective coordination and information management.
Support Board, Executive Leadership Team, governance committee and leadership forum processes, including coordinating papers, reporting cycles and action tracking.
Act as a key point of contact for the executive and broader function.
Build and maintain productive relationships across GIICA, government, industry, delivery partners and external stakeholders.
Facilitate effective communication and information flow between teams and stakeholders.
Coordinate meetings, workshops, events, travel and executive engagements.
Prepare agendas, papers, minutes and action registers.
Maintain records, registers and document management systems.
Assist with expenses, procurement, approvals and administrative processes.
Monitor milestones, risks, actions and commitments to support executive oversight and informed decision-making.
Contribute to the continuous improvement of administrative systems, processes and workflows.
Provide coordination and administrative support aligned to the function supported.
Support broader executive functions during periods of leave, peak workload or organisational need.
Provide relief and back-up support across executive offices and corporate functions to support continuity of executive services.
The precise focus of these responsibilities will vary depending on whether the position supports the Delivery, Commercial or People & Culture function.
About you
You will bring:
Demonstrated experience providing executive-level support within a complex and fast-paced environment.
Exceptional organisational skills and the ability to manage competing priorities while maintaining accuracy and attention to detail.
Advanced diary, inbox and executive coordination capability.
Strong written communication skills, including experience preparing reports, presentations, briefing notes and professional correspondence.
Strong interpersonal skills and the ability to build trusted relationships with senior leaders and diverse stakeholder groups.
Demonstrated ability to exercise discretion and maintain confidentiality.
Strong problem-solving capability and a proactive, solutions-focused approach.
High proficiency in Microsoft Office applications and digital collaboration tools.
Experience supporting governance processes, committees or leadership forums.
The ability to coordinate multiple stakeholders, competing priorities and governance requirements within a complex organisational environment.
Adaptability, resilience and the ability to navigate ambiguity, change and evolving priorities.
A collaborative approach and willingness to contribute to a supportive and inclusive workplace culture.
Exposure to major projects, infrastructure, commercial, corporate or people-related functions will be advantageous.
