About the role

We are seeking an experienced and talented Front of House professional to join our team at Whitehouse Institute of Design, Australia - Redfern Campus. In this position, you will be the first point of contact for our students, visitors and staff, providing exceptional customer service and creating a warm and welcoming environment.

What you’ll be doing (Education-focused Reception & Student Administration)

  • Greeting and welcoming all visitors to the Institute in a friendly, professional, student-first manner — including prospective students, current students, guests, industry partners, contractors, and delivery services.

  • Being the first point of contact for student enquiries, responding calmly and helpfully in person, by phone, and by email — and escalating matters to the appropriate staff member when required.

  • Directing visitors to the right staff or departments and ensuring they are assisted promptly, while maintaining appropriate privacy and discretion in a student-facing environment.

  • Managing incoming phone calls and enquiries, screening and routing calls, taking accurate messages, and following up on routine matters (e.g., timetable questions, campus access, general course queries)

Supporting student administration processes, including:

  • assisting students with basic enrolment/admin questions and directing them to the correct process or team

  • helping with student forms and requests (e.g., change of details, letters, general documentation)

  • maintaining accurate student records and assisting with data entry and updates in relevant systems

  • preparing and distributing student-facing documents (as approved), including handouts and information packs.

Booking and coordinating:

  • prospective student tours and campus visits

  • workshops and short-course bookings

  • venue hire enquiries and scheduling (including confirming room availability, access, basic requirements, and escalation to Facilities/Operations where needed).

Document control and administration support, including:

  • updating and maintaining internal documents, templates, and forms (version control, dates, correct file naming, and storage)

  • ensuring the latest versions of forms and key student/admin documents are accessible to staff (and removing outdated copies)

  • supporting printing, compilation, filing, and secure storage of approved records in line with Institute processes.

  • Maintaining a tidy, welcoming reception and student services area, ensuring the space reflects the Institute’s professional standards (signage, brochures, student information, and general presentation).

  • Managing deliveries and campus logistics, including receiving parcels, coordinating couriers, logging deliveries where required, and distributing items to the correct team members.

  • Scheduling appointments and taking messages for key staff, maintaining accurate calendars where relevant, and ensuring meeting spaces are set up appropriately.

  • Assisting with education events and student activities, including Orientation, Open Days, student exhibitions, guest talks, industry workshops, and graduation-related logistics — supporting basic event coordination and front-of-house hospitality.

  • Supporting compliance-minded administration, including handling information confidentially, following established procedures, and escalating any student wellbeing, safety, or urgent issues to the appropriate staff member immediately.

  • Contributing to a positive team environment, working collaboratively with academic, admissions, operations, and student support teams — and being someone others can rely on to keep the front desk and student admin running smoothly.

What we're looking for

  • Previous experience in a similar front of house or receptionist role, ideally within an educational or professional services environment

  • Excellent communication and interpersonal skills, with the ability to engage with a diverse range of stakeholders

  • Strong organisation and time management skills, with the ability to multitask and work well under pressure

  • Proficient in using standard office software, including Microsoft Office suite
