We're looking for a proactive and organised Office & Administration Manager to support the day-to-day running of our office and administration functions. This is a varied role suited to someone who enjoys being the backbone of a busy business and is happy to wear many hats.
Job Summary
Provide administrative and office support across the business, helping ensure the smooth day-to-day operation of HLW Group. This varied role includes office administration, customer support, document management, basic marketing and social media, and assisting management with a range of business activities.
Key Responsibilities
Office Administration
Manage the day-to-day running of the office.
Answer incoming phone calls and respond to general enquiries.
Maintain filing systems and company records.
Order office supplies and manage stationery.
Prepare correspondence, letters and documents.
Assist with general office organisation and housekeeping.
Administration Support
Prepare quotes, customer documentation and reports.
Assist with data entry and maintaining company systems.
Manage incoming and outgoing mail.
Support invoicing and administrative tasks as required.
Assist management with ad hoc projects and business initiatives.
Customer Service
Respond to customer enquiries professionally.
Assist customers with bookings and general requests.
Maintain accurate customer information.
Provide administrative support to the operations team.
Marketing & Social Media
Assist with creating and scheduling social media posts.
Update website content where required.
Coordinate marketing materials and promotional activities.
Support recruitment advertising and company communications.
Assist with internal newsletters and customer communications.
General Business Support
Assist directors and management with administrative tasks.
Coordinate meetings and maintain calendars where required.
Help improve office systems and processes.
Take ownership of a variety of projects as the business grows.
Skills & Experience
Ideally, you will have:
Previous experience in office administration or office management.
Excellent organisational and time management skills.
Strong written and verbal communication skills.
High attention to detail.
Confidence using Microsoft Office and cloud-based software.
Experience with social media platforms such as Facebook and LinkedIn (Instagram experience is advantageous).
The ability to manage multiple priorities and work independently.
