About the role
IQI Australia Pty Ltd is seeking a Finance Officer to join our finance team in Melbourne, VIC. This is a full-time position offering an exciting opportunity to contribute to the financial health and operational efficiency of our boutique real estate agency. As a Finance Officer, you will play a crucial role in maintaining accurate financial records, managing client trust accounts, supporting financial reporting processes, and ensuring compliance with accounting standards and real estate regulatory requirements. This position is central to the smooth operation of our finance function and directly impacts the strategic decision-making of the business.
Key responsibilities
Manage and process trust accounts: Administer real estate trust accounts, ensuring accurate receipting, processing sales and leasing deposits, and executing the timely distribution of trust monies to vendors, landlords, and relevant authorities in strict compliance with statutory regulations.
Maintain financial records: Prepare and maintain accurate financial records, including journal entries, account reconciliations, and general ledger postings.
Payroll processing: Process and manage end-to-end staff salaries, agent commissions, and superannuation contributions accurately and on time.
AP and AR management: Process and verify accounts payable and accounts receivable transactions in a timely manner.
Financial reporting: Assist in the preparation of monthly, quarterly, and annual financial statements, reports, and trust account audits.
Bank reconciliations: Conduct daily bank reconciliations across general and trust accounts to identify and resolve discrepancies swiftly.
Period-end closing: Support the month-end and year-end closing procedures, including accruals, prepayments, and real estate trust ledger balancing.
Compliance and documentation: Maintain organised financial documentation and ensure all records comply with consumer affairs, real estate legislation, company policies, and legal requirements.
Financial analysis: Assist with the preparation of management accounts and financial analysis.
Stakeholder liaison: Liaise with internal stakeholders, sales agents, property managers, and external parties including auditors and tax advisors.
System administration: Perform data entry and maintain absolute accuracy in financial systems and databases.
Ad-hoc duties: Support ad-hoc financial projects and analysis as required.
What we're looking for
Industry experience: Proven experience working in a financial accounting or finance role within a real estate agency is essential (ideally 2-3 years in a similar position).
Trust accounting expertise: Demonstrated experience handling real estate trust accounts, managing ledger allocations, and legally distributing trust funds.
Qualifications: A qualification in accounting, finance, or a related discipline (such as a relevant Certificate IV, Diploma, or Degree).
Payroll & commission experience: Demonstrated experience processing payroll, calculating agent commissions, and managing superannuation compliance.
Software proficiency: Strong proficiency with real estate trust accounting software, specifically Trustsoft or similar platforms, combined with corporate accounting tools like Xero.
Attention to detail: Excellent attention to detail with the ability to identify and correct errors in high-stakes financial data.
Accounting foundations: Solid understanding of basic accounting principles, financial reporting standards, and GST compliance.
Tech skills: Proficiency in Microsoft Excel and other Office applications.
Time management: Strong organisational skills with the ability to manage multiple tasks and meet tight property settlement deadlines.
Communication: Excellent written and verbal communication skills to interact with clients, agents, and auditors.
Work ethic: A methodical approach to problem-solving, a professional attitude, absolute commitment to confidentiality, and the ability to work independently. [1]
