Multipac Australia is a Victorian-owned manufacturer of bulk liquid packaging for the food, beverage, dairy, and specialty chemical industries. We supply some of Australia's leading manufacturers with packaging solutions.

We're growing. After two decades of steady operation, the business is in an active growth phase, including the development of new customer accounts across the food and specialty chemical sectors. Our current Administration Officer is moving on, and we're now looking for the right person to step into a role that genuinely runs the bookkeeping and administration functions of the business.

This is a full-time, fully remote position. You can be located anywhere in Australia — we care about finding the right person, not where they sit. You'll work closely with the Managing Director and report directly to him, with regular structured check-ins and clear weekly priorities.

About the role

As Administration Officer at Multipac, you will own the administrative and bookkeeping backbone of the business. The role is broad — you'll touch everything from payroll to customer purchase orders, from supplier coordination to BAS preparation. It's a position for someone who genuinely enjoys having a meaningful impact on how the business runs day-to-day.

You'll be the first point of contact for many of our accounts payable and receivable, the person who makes sure invoices go out on time and bills get paid, and the operational anchor that keeps the Managing Director free to focus on growth.

What you'll do

  • Manage end-to-end bookkeeping in Xero, including bank reconciliation, accounts payable, accounts receivable and supplier payments.

  • Process weekly and fortnightly payroll, including superannuation lodgment, STP reporting and end-of-year finalisation

  • Prepare and lodge the quarterly Business Activity Statement (BAS)

  • Receive customer purchase orders, validate commercial details, and enter them into our Monday.com production system

  • Create and submit supplier purchase orders, and ensure they're properly documented for matching against incoming invoices

  • Manage customer invoicing, follow up overdue accounts, and maintain healthy cash flow through disciplined receivables management

  • Communicate professionally with customers — handling order acknowledgements, and delivery enquiries — working from instructions and frameworks set by the team

  • Answer incoming phone calls and direct them appropriately within the team

  • Provide personal assistant support to the Managing Director — diary, correspondence, ad hoc administration

About you

  • You have proven experience in a similar broad administration / bookkeeping role — ideally 3+ years in an SME environment

  • You're confident with Xero and have hands-on experience with payroll, AP, AR, bank reconciliation and BAS preparation

  • You're comfortable picking up new systems quickly — we use Monday.com for production tracking and we'd value someone who can master it fast

  • You have excellent written and verbal communication skills, and you're comfortable representing the business to customers and suppliers

  • You're detail-oriented to the point of being slightly fussy about getting things right — accuracy matters in this role

  • You're reliable, organised, and genuinely self-managing — you can run your week without needing to be told what to do every day, which is essential for a remote role

  • You have a suitable home office setup — quiet space, reliable internet, the ability to take and make business calls professionally

  • You're available during eastern states business hours (8:30am – 5:00pm AEST/AEDT) regardless of where you're located

  • You're calm under pressure and use good judgement about when to escalate something to the team

  • You're a genuine team player — happy to step beyond the strict job description when the business needs it
