About Us

The Ambulance Provident Fund (APF) is a NSW-based not-for-profit mutual benefit fund established in 1981. Our purpose is straightforward but profound: to provide immediate financial support to the families and nominated beneficiaries of members who pass away — bridging the gap before superannuation and life insurance payments arrive.

Membership is open to Ambulance Service employees and their spouses and partners. Governed by a Board of Directors drawn from across the ambulance and paramedicine community, the APF has provided trusted financial support to members' families for more than four decades.

We are now at an exciting inflection point: transitioning from a volunteer-led model to a professionally staffed organisation, with robust systems, modern governance, and a platform to grow our impact. The General Manager role is central to this next chapter.


The Opportunity

This is a newly created ongoing role, building on the developing operational foundation. You will be the APF's primary employed executive — the operational engine of the Fund — and will work directly with a committed and experienced Board to deliver excellent member services, operational excellence, and sustainable growth.

It is a hands-on, generalist role for someone who thrives on variety: one day you might be processing a membership application, the next preparing a board paper or speaking at a Ambulance induction event. What You Will Do

Your accountabilities span five core areas:

Member Services

  • Be the first point of contact for members — answering enquiries, processing applications and renewals, and managing arrears with professionalism

  • Handle beneficiary payment notifications with compassion and efficiency, supporting grieving families through a difficult time

  • Drive the annual renewal cycle and maintain accurate, up-to-date membership records

Financial Administration

  • Maintain day-to-day financial records in Xero, process transactions, and prepare clear financial reports for the Board and Finance Committee

  • Support budget preparation, bank reconciliations, accounts payable, and annual audit preparation in collaboration with the external accountant

Governance & Board Support

  • Prepare and distribute board papers, agendas and minutes; maintain the compliance register and document management systems

  • Track and follow up on Board action items; support statutory and ASIC reporting obligations

Communications & Stakeholder Engagement

  • Prepare member communications, newsletters, and present to prospective members at Ambulance induction and recruitment events

  • Manage the Fund's website, member portal, and social media channels in accordance with Board guidelines

  • Present the GM Report and Operations Dashboard at each Board meeting

Operational Systems & Strategy Execution

  • Take ownership of the Fund's operational systems — membership management, IT environment, and procedures — ensuring they are fit for purpose and support growth

  • Implement the Board-approved Strategic Plan, prepare the Operations Dashboard, and contribute research and data to inform strategic decisions


What We Are Looking For

Essential

  • Strong organisational and administrative skills, with demonstrated ability to juggle multiple priorities in a lean organisation

  • Experience in membership services, administration or operations — ideally within a not-for-profit or member association

  • Financial administration and bookkeeping competency, including experience with Xero or similar platforms

  • Excellent written and verbal communication skills across diverse audiences

  • Demonstrated ability to handle sensitive situations — including supporting bereaved families — with compassion, empathy and professionalism

  • High digital literacy: Microsoft 365 (Word, Excel, Outlook, Teams, SharePoint)

  • Experience preparing board agendas, papers and minutes

  • Sound judgement and the ability to work autonomously within a governance framework

  • Permanent work rights with no restrictions

Desirable

  • Experience working directly with or for a Board of Directors

  • Background in or understanding of ambulance, paramedicine, emergency services or health

  • Familiarity with membership management systems (e.g. iMIS, HubSpot or similar)

  • Website and social media administration experience

  • Understanding of ASIC requirements for companies limited by guarantee

  • Tertiary qualifications in business administration, management, finance or related discipline

Working With Us

This is a remote position (NSW preferred), working a 32-hour, 4-day week. You will attend regular Board and committee meetings (some face-to-face), and represent the Fund at Ambulance induction and recruitment events. The Board provides fortnightly check-ins with the Chair and weekly briefings during active operational periods.

You will be joining an organisation that is in transition — with developing foundations, a clear strategic direction, and a Board that is invested in making the GM role a success. There is genuine scope to shape the role, build the team over time, and grow with the Fund.
