Bookkeeper & Administration Coordinator (Contractor)

Location: North Melbourne (Onsite Only - This is not a remote position)
Employment Type: Contractor (ABN Required)
Hours: Tuesday, Wednesday & Thursday | 10:00am – 2:00pm
Hourly Rate: $35–$40 per hour (depending on experience)

We're seeking an experienced and highly organised Bookkeeper & Administration Coordinator to join our small, dynamic team based in North Melbourne.

This is a fantastic opportunity for someone who enjoys variety, takes pride in accurate financial administration, and is looking for flexible, family-friendly working hours. This is an onsite role where you'll become an important part of a small collaborative and supportive team.

About the Role

Working across multiple business entities, you'll play a key role in ensuring our financial records and administrative processes run smoothly.

Key Responsibilities

Bookkeeping

  • Manage bookkeeping across 3–5 business entities

  • Accounts Payable and Accounts Receivable end to end

  • Perform bank and general ledger reconciliations

  • Process and reconcile statements

  • Prepare and post journals

  • Prepare and lodge BAS

  • Maintain accurate and up-to-date financial records

  • Ensure all financial transactions are supported by appropriate documentation

  • Liaise with external accountants

  • Coordinate annual audit requirements with auditors

Administration

  • Manage the accounts and finance mailbox

  • Assist in preparing supplier agreements and documentation

  • Coordinate shared drives, subscriptions and suppliers

  • Update CRM & Client Records

  • Book travel arrangements when required

  • Provide general administrative support across the business

  • Coordinate board & meeting room bookings with external clients also as the key contact.

  • As a small team you will also assist in answering incoming roles also.

About You

You'll be someone who:

  • Has previous bookkeeping experience across multiple entities

  • Has strong attention to detail and excellent organisational skills

  • Can work independently while enjoying being part of a close-knit team

  • Is proactive, reliable and takes ownership of their work

  • Has excellent communication and relationship-building skills

Skills & Experience

Essential:

  • Previous bookkeeping experience

  • ABN and ability to work as an independent contractor is a requirement of this role

  • Strong Microsoft Office skills (particularly Excel)

Highly Desirable:

  • Experience with Xero as well as with MYOB

  • BAS preparation and lodgement experience

  • Experience working with external accountants and auditors
