Are you an organised and proactive administrator with strong accounts experience and a passion for keeping things running smoothly behind the scenes?

We are seeking a highly trusted Accounts & Family Office Administrator to support a private family office and a portfolio of business interests. This varied role combines accounts administration, financial coordination, household support, and general business administration across multiple entities.

Working directly with the principal, you will play a key role in ensuring day-to-day financial and administrative matters are managed efficiently, professionally, and with complete discretion.

The Role:

You will provide support across family office affairs, personal finances, and business operations, ensuring financial records, payments, reporting, and administration are maintained to a high standard.

Family Office & Personal Administration:

  • Manage household accounts, expenses, and cash flow tracking

  • Coordinate and process payments, invoices, subscriptions, and recurring expenses

  • Monitor bank accounts and reconcile transactions

  • Prepare financial summaries and expense reports for review

  • Liaise with accountants, financial advisers, legal representatives, and other professional service providers

  • Support budgeting, financial record management, and document organisation

  • Maintain confidential family and financial records

Accounts Administration:

  • Process accounts payable and receivable across multiple entities

  • Manage supplier invoices, payment runs, and account reconciliations

  • Assist with monthly reporting and bookkeeping activities

  • Maintain accurate records to support BAS, tax, compliance, and year-end requirements

  • Coordinate with external accountants and bookkeepers

  • Support payroll administration and employee expense management

  • Monitor outstanding payments and follow up where required

Business & Operational Support:

  • Provide administrative support across a specialty coffee roastery and supplements business

  • Manage records, contracts, supplier information, and documentation

  • Coordinate service providers, contractors, and key business stakeholders

  • Assist with project administration and process improvement initiatives

  • Maintain organised digital filing systems and business documentation

  • Support ad hoc operational and executive tasks as required

You will bring:

  • High organisation and attention to detail skills

  • Previous experience in accounts administration, finance administration, family office support, or a similar role

  • Minimum 2-3 years of accounts administration experience is required

  • Strong knowledge of accounts payable, accounts receivable, reconciliations, and financial administration

  • Experience working across multiple entities, companies, or complex administrative environments

  • Proficiency with Xero, MYOB, QuickBooks, or similar accounting platforms

  • Strong Microsoft Office and/or Google Workspace skills

  • Excellent organisational and time-management abilities

  • The ability to work autonomously and manage competing priorities

  • High levels of professionalism, confidentiality, and discretion

  • Experience supporting business owners, executives, high-net-worth individuals, or family offices will be highly regarded

  • Confidence using AI tools and technology to improve efficiency and workflows

  • Australian working rights are essential for this position
